What changed for two early-access presales teams

Both teams joined the 2024-2025 early-access cohort. They used SiftHub on live deals and were direct about the parts that did not work yet.

Case Studies

Velara Enterprises
Early-access program, data self-reported by customer

Background

Velara Enterprises sells cloud infrastructure into the mid-market. Four presales people cover deals worth $200K to $2M, and most cycles reach a security questionnaire from a financial services or healthcare procurement team, usually somewhere between 80 and 150 questions.

Challenge

Questionnaires ran four to five business days end to end. Two senior engineers kept answering the same core questions, time that came straight out of active deal support. Answers drifted between deals, which is a liability question as much as a consistency one. The documentation existed; nothing routed it to the person who needed it.

Solution

Velara connected its security whitepapers, compliance documents and 60 approved Q&A pairs. The team spent the first two weeks reviewing drafts and approving the answers it trusted, which sharpened the knowledge base as it went. By the third week, 80% of questions were receiving a high-confidence first-pass draft.

Results

Same-day turnaround on 80% (down from 4-5 days)
60% fewer SME interruptions on security questions
3 weeks to steady-state match accuracy
Kinetic Software
Early-access program, data self-reported by customer

Background

Kinetic Software builds workflow automation for manufacturing and logistics operations. A three-person presales team carried more than 20 RFPs a quarter on top of solution engineering work. Demand outran the headcount, and response quality began to slide.

Challenge

At that volume, questionnaire work took 30 to 40% of the team's time. Demos, discovery calls and selling absorbed the loss. Smaller deadlines slipped, and the team turned down opportunities it simply could not answer.

Solution

Kinetic fed in product documentation, compliance FAQs and two years of completed RFPs. The old RFPs gave it a high-confidence base from the first day. During month one the team ran SiftHub on five live RFPs, starting from drafts and refining in review.

Results

2x questionnaire capacity, no added headcount
8 days shorter average deal cycle for RFP-heavy deals
30+% of prior declined RFPs now answered

In their own words

"We used to negotiate the timeline on every security questionnaire. Now the response goes back the same day, and that has changed how buyers see us in the first 48 hours of a deal."

Riley Cross Presales Lead at Morroway Cloud, from our early-access cohort

"A security questionnaire used to pull our security engineers away for two days. Now it goes into SiftHub, I review the draft in about 45 minutes, and the engineers only hear from me when a low-confidence flag says a genuinely new answer is needed."

Jordan Kim Director of Solutions Engineering at Nexara Systems, from our early-access cohort
